How to Add an Individual User as an Approver in the Workflow?

Adding an individual user as an approver streamlines the workflow process by allowing specific users to approve requests based on defined criteria. This is especially useful for ensuring that the right person reviews and approves requests within their department or area of responsibility. Follow the steps below to configure this setting.

Prerequisites

  • Admin access is required to configure workflow settings.

Step-by-Step Instructions

  1. Access Admin Settings

    • Switch to the Admin side of your account.

  2. Navigate to Configurations

    • Go to Configurations and then select Manage Workflows.

  3. Set Up the Workflow

    • Click on Actions > Add Workflow.

    • Start by entering the Workflow Name, Entry Condition, and Workflow Scope as required.

  4. Add an Approval Level

    • Click on Add Level and set the Workflow Type to Individual User.

    • Click on Add Condition and from the dropdown list, choose the specific user you want to assign as the approver.

  5. Define Workflow Conditions (Optional)

    • You can add specific conditions, such as Amount, Category, Department, Line Type, Account, or Class.

    • Select Default if you don’t need any specific conditions.

  6. Save and Submit

    • Click Save Changes to finalize your selections, then click Submit to apply the workflow.

  1. Can I assign multiple users at this level?

    • No, when selecting Individual User, only one user can be assigned (under the default type condition) at this approval level. However, you can add multiple levels with different users if needed.

  2. Can I edit the workflow?

    • Yes, you can return to Manage Workflows to make edits at any time.
