How to Submit a Contract Request

Overview

Submit a contract request in ProcureDesk instead of emailing Legal or Procurement directly. The request routes through your normal approval workflow, and once approved, uploading the signed document automatically creates the live Contract record, no manual re-entry needed.

Prerequisites

  • Make sure your admin has granted you the Contract Requests: All privilege.

  • Approvals: Approve Contract Requests. Required for the approver step.

  • Your admin can check or update this by navigating to General Settings → Configurations → Manage Privileges.

Steps

  1. Go to Contracts → Request and click + Create request.

  2. Fill in the contract info: Description, Contract #, Contract name, Contract type, Vendor name, Contract owner, Cost center, Contract value, Payment term, Start date, Expiration date, Business unit, and Category.

  3. Upload any draft contract(s) under "Upload draft contract(s)," then click Save as Draft to keep working on it, or Submit to send it for approval.

  4. The approver reviews the request under Contracts → Request. They can Approve, Reject, or Reassign it, and can upload a refined version of the draft document (with a comment for you) without needing to approve or reject first, useful for a review round before final signoff.

  5. Once approved, the request status changes to Review Completed and a banner appears: "Upload the signed document to convert this request into a live contract."

  6. Click into the request, upload the signed document under "Signed document," and give it a version name. Click Upload.

  7. The request converts to a live contract automatically. A contract number is assigned, the status changes to Live, and the record appears under Contracts → Repository.

Things to keep in mind

● Both the requester and the approver can upload contract versions during review.

● Comments on the request are logged automatically, including system comments when a new document version is uploaded.

FAQ

Q: Can the approver edit the contract before approving it?

  • Yes. The approver can upload a revised draft and leave a comment without taking a reject or approve action, so back and forth review happens on the same request.

Q: What happens if I don't upload a signed document after approval?

  • The request stays at "Review Completed" and won't become a live contract. The banner prompting you to upload the signed document stays visible until you do.

Q: Where does the finished contract show up?

  • Under Contracts → Repository, with a system-assigned contract number.
