How to Download the QuickBooks Web Connector (QWC) File?

This guide walks you through downloading the Web Connector (.qwc) file required for setting up the QuickBooks integration with ProcureDesk.

Step 1 – Log in as Admin

Ensure you are logged into ProcureDesk on the Admin side of the application.
Only admin users can access the settings required for downloading the file.


Step 2 – Navigate to the Download Option

  1. Click on General Settings.

  2. Go to Configurations.

  3. Under Other Settings.

  4. Click Download web connector file


Step 3 – Save the File

  • A .qwc file (ProcureDesk Web Connector file) will be generated.

  • Save it in the location where QuickBooks is hosted:

    • If QuickBooks is installed on your local desktop, save it there.

    • If QuickBooks is on a remote server, save the file directly on that server, or save it locally and then move it to the server.

You can install this for multiple users, but the file must be unique for each, so download it every time you need a new file. Don't use the one that was used in the past.


Step 4 – Retrieve the Integration Password

When installing the connector in QuickBooks, you will be prompted for a password.
To get the password:

  1. Under the Master Data column on the same screen, go to System Integration.

  2. Locate the Username and Password.

    • Note: You only need the password. The username is not required for setup.

If you have multiple entities set up in ProcureDesk, you must open the QWC file and update the username based on which entity you need the QWC file for.


Additional Notes

  • This file and password are essential for the QuickBooks Web Connector setup.

  • Follow the installation instructions for QuickBooks Web Connector after downloading and placing the .qwc file.
