How to create an Advanced Shipping Notice (ASN) / Update tracking information

When a vendor ships the product, the vendor sends the shipping information via email and it's also called an Advanced Shipping Notice.

You can update the tracking information in ProcureDesk and track the status of the order while it is in transit.

Prerequisites

  • Create and update access for the order module.

  • The vendor should have provided shipping information, including tracking numbers.

Step-by-Step Instructions

  1. Navigate to the Order

    • Navigate to the Purchase section, then access the Orders tab to open the Orders module.

    • Open the PO that you want to create the ASN for.

  2. Create ASN

    • Under Actions, click on the "Create ASN" button.

  3. Enter Tracking Information

    • Input the tracking number and select the carrier. These fields are mandatory.

    • Additional details, such as line quantity and item numbers, can also be added.

    • Click on "Create ASN" to finalize the entry.

  4. Track Order

    • The system will update the order status to "ASN created," allowing you to track the shipment's progress.


FAQs and Troubleshooting

  1. What if I don't have all the tracking information?

    • You can save the ASN with partial information and update it later as more details become available.

  2. Can I edit the ASN after it's been created?

    • Yes, you can modify the ASN details by reopening the order and updating the ASN information.
