How to create a Credit Memo?

This guide explains how to create a credit memo in ProcureDesk to adjust the outstanding balance for an invoice.

Prerequisites

  • Necessary privileges for creating a Credit Memo.

Step-by-Step Instructions

Step 1: Open the Invoice

  • Go to the Invoice section and open the invoice for which you want to create a credit memo.

Step 2: Create Credit Memo

  • Go to Actions and click on Create Credit Memo.

Step 3: Copy Invoice Data

  • The system will create a credit memo from the invoice by copying the invoice data.

Step 4: Upload Credit Memo Image

  • Click on Choose File on the left-hand side to upload the credit memo image.

Step 5: Enter Credit Memo Details

  • Enter the Credit Memo # and adjust the amount in the line item to match the credit memo amount.

Step 6: Create Credit Memo

  • Click on Create Credit Memo to finalize the credit memo.


Review Remittance

  • Once the credit memo is created, the system will adjust the outstanding balance for the invoice. You can see the details under the Remittance section of the invoice.

FAQs & Troubleshooting

  1. Can I edit a credit memo after it is created?

    • No, once a credit memo is created, it cannot be edited. You will need to create a new credit memo if there are any discrepancies.

  2. Can I create a credit memo without an Invoice?

    • Yes, you can. Start by creating the credit memo from the 'Credit Memo' section on the left menu.

    • When you upload the credit memo and start filling in the details, ensure that you check the box for "Non Invoice".
