How to Generate and Download a Custom Report?

Prerequisites

Before generating and downloading a custom report, ensure the following:

  • Access Permissions: Verify that you have the necessary permissions to generate and download reports.

  • Custom Reports Enabled: If Custom Reports are not enabled, contact your system administrator to enable this feature.

Step-by-Step Instructions

  1. Enable Custom Reports

  • Ensure that Custom Reports access is permitted.

  1. Access My Reports

  • Switch to the standard side of ProcureDesk

  • Go to the left-hand menu and click on "Reports" located under Insights.

  • Click on "My Reports".

  1. Create a New Report

  • Select "Generate New Report".

  • From the dropdown menu, select the type of report you wish to create.

  • Provide a name and description for your report to distinguish it later.

  • Select any filters to refine the data included in the report.- As an example, you can filter using "Project Codes" to isolate specific invoices, orders, or other criteria related to your projects.

  • Choose specific fields to include in the report by moving them to the right-hand side.

  1. Generate the Report

  • Click "Generate Report" to create the custom report based on your selected criteria.

  1. Review and Download

  • Review the generated report to ensure it meets your requirements. Then, click "Download" to save it to your device.

  1. Return to Dashboard

  • To go back to the main dashboard or continue working, click "Back".

  1. Access Saved Reports

  • In the future, you can access previously generated reports from the "My Reports" section. Choose from existing reports or create new ones as needed.

    • Yes, once generated, custom reports can be edited.

    • Under Reports > My Reports, click on the share icon on an existing report and select the user/s to share the report with them.

    • To track expenses by approver and date range: Create a new report, set the type to Expense Account Level, and add the Approved On, Last Approval, Expense Date, and Expense amount columns. After generating the report, use the Days Range dropdown (top right) to set your date range. There's no Approved By filter at creation — use the Last Approval column to identify the approver after downloading.
