We are excited to introduce a new feature that allows you to schedule payments for approved invoices through Bill.com directly from ProcureDesk!
This article will guide you through enabling the necessary privileges and setting up supplier payment information to use this feature.
Prerequisites
Ensure you have the admin role.
Part 1: Assigning the Payments Privilege to Users
To enable the payments feature for users, follow these steps:
Switch to Admin Mode:
Log in to ProcureDesk and switch to Admin mode.
Navigate to Manage Privileges:
Go to Configurations from the left menu and select Manage Privileges.
Edit the Privilege:
Find and edit the privilege you want to add the payments feature to. For example, if you have an "AP Privilege," click on the edit option next to it.
Enable the Payments Feature:
In the pop-up window, scroll to the bottom until you see the "Payments" section.
Check all the boxes to allow access to payments and its related functionalities.
Click "Update Privilege" to save your changes.
Part 2: Setting Up Supplier Payment Information
Before initiating payments, ensure supplier payment information is correctly set up in ProcureDesk. Here’s how:
Access the Supplier Profile:
From the left menu, click on "Suppliers."
Select the supplier you want to update.
Navigate to the "Payments" section within the supplier’s profile.
Update Supplier Payment Details:
There are three ways to set up payment information for a supplier:
Option 1: Search for Vendor Details
Click on the "Search Payment" button.
ProcureDesk will search for available payment information for the vendor.
Option 2: Invite Vendor via Email
If no information is found, invite the vendor to provide payment details.
Enter the vendor’s email address in the "Invite By Email" field under the "Add Manually" section.
Option 3: Manually Add Payment Details
Enter the vendor’s ACH details manually in the "Add Manually" section.
If the vendor prefers checks, ensure their billing address is accurate.
Mandatory Requirement:
At least one of these three methods must be completed for every supplier you intend to process payments for.
Part 3: Adding ProcureDesk user on Bill.com
It is a mandatory step to add a ProcureDesk user to the bank account on your bill.com account.
