Efficient user access management is crucial for maintaining security and streamlining workflows. The Groups module allows you to create user groups and assign tailored permissions across various modules like Accounting, Catalog, Project Code, Class, Budget, and Requisition Type. This guide will walk you through the steps to create groups, assign users, and configure permissions for seamless module access control.


Prerequisites

  1. Ensure access to the Groups module on the Admin page.

  2. Verify that features like Project Codes, Class, Budget, and Requisition Types are enabled in the system if required.


Step-by-Step Instructions

1. Creating a User Group

  1. Navigate to the Groups section on the Admin page.

  2. Click on Create Group.

  3. Enter a group name.

  4. Select the users to include in the group.

  5. Once created, the group will appear in the Groups list.


2. Assigning Permissions to a Group

  1. In the Groups list, locate the group and click on Permissions under the Actions column.

  2. Assign permissions for each module as outlined below.


3. Module-Specific Permissions

  • Accounting

    • Click on Assign Accounts.

    • Select accounts from the Accounting drop-down.

    • Click Save to finalize your selections.

  • Catalogs

    • Click on Assign Catalogs.

    • Select catalogs from the Catalogs drop-down.

    • Click Save to confirm your selections.

  • Project Code

    • Ensure Project Codes is enabled in the system.

    • Click on Assign Project Codes.

    • Select project codes from the drop-down menu.

    • Click Save to apply changes.

  • Class

    • Ensure Class is enabled in the system.

    • Click on Assign Classes.

    • Select classes from the drop-down menu.

    • Click Save to save your selections.

  • Budget

    • Ensure Budget is enabled in the system.

    • Click on Assign Budgets.

    • Select budgets from the drop-down menu.

    • Click Save to finalize.

  • Requisition Type

    • Ensure Requisition Types is enabled in the system.

    • Click on Assign Requisition Types.

    • Select requisition types from the drop-down menu.

    • Click Save to complete the process.
